Ysell Platform — Complete Step-by-Step Guide
Every click explained. From your first login to your first shipment delivered. This guide covers every screen in the Ysell platform as used with 365PrepCenter.
First Login
You've received an email from Ysell with your login credentials. This phase gets you into your account for the first time.
Open the login page
Open your browser and go to:
You'll see a simple login form with an email field and a password field. Don't fill anything in yet — first make sure you have your credentials email from Alex open.
Enter your credentials

1In the Email field — enter the email address you registered with (the one that received the invitation)

2In the Password field — enter the password from your credentials email

3Click Sign In
Your dashboard — orientation
After logging in, you land on the main Dashboard. Here's what you see:

→Left sidebar — main navigation: Shipments, Products, Warehouse, Reports, Settings

→Finance block (dashboard) — shows your current balance and any unpaid invoices

→Top right — account icon for profile settings and logout
Phase 1 complete — you have access to your Ysell account.
Account Setup
Fill in your company profile. 365PrepCenter uses this data to generate invoices, route shipments, and send you notifications. Takes about 20 minutes.
Open Settings
Look at the left sidebar. At the bottom of the sidebar, find the ⚙ Settings icon and click it.
Go to Companies
In the Settings page, click Companies in the left sub-menu. You'll see a list of companies — click your company name to edit it.
Fill in the Company tab
You're on the Company tab (first tab). Fill in:

1Company Name — your business name, e.g.
John's Store LLC -
2Prefix — a short 2–4 letter code used in shipment IDs, e.g.
JOHNorJS. Once set, don't change it — it appears in all future shipment numbers.
Click Save or Update after filling in.
Fill in the Address tab
Click the Address tab (second tab). This is your billing address — it appears on invoices.

1Street address, City, Zip, Country — your business billing address

2VAT ID — enter if your business is VAT-registered. Leave blank if not applicable (US sellers typically leave this blank)

3Email — your billing email. Important: invoices are sent to this address. Use a monitored inbox.
Click Save.
Set up notifications
Go to Settings → Notifications. Here you control how Ysell alerts you about shipment updates and new FBM orders.

1Email notifications — enter your email address to receive alerts when shipment status changes and when FBM orders arrive

2Telegram Chat ID (optional but recommended) — get real-time instant notifications in Telegram. To find your Chat ID: message
@userinfoboton Telegram, it replies with your ID.
Phase 2 complete — company profile is set up. 365PrepCenter can now generate correct invoices for you.
Connect Your Amazon Account
Link Ysell to your Amazon Seller Central account. Once connected, your product listings and orders sync automatically. This is required before creating shipments.
Open the Platforms tab
Go to Settings → Companies, click your company, then click the Platforms tab. This tab shows all connected marketplaces. It's empty right now — that's normal.
Add a marketplace

2A dropdown appears with supported marketplaces: Amazon, eBay, Shopify, ShipStation, WooCommerce, Allegro, Kalfland, Otto, Walmart, TikTok, Shop, Metro — select the one you need
Select your country and connect
A small form appears. Select the country/region where your Amazon account is based (e.g. US), then click Connect. Ysell will redirect you directly to Amazon's authorization page — no Seller ID or manual credentials needed.
Authorize via Amazon OAuth
After clicking Connect, you'll be redirected to Amazon Seller Central to grant Ysell permission to access your account. This is the standard Amazon authorization flow.

2You'll see a single checkbox: "I direct Amazon to provide Y-sell pro access to my selling partner account and related data. I am responsible for any action taken by this application." — check it

3Click Confirm — you'll be redirected back to Ysell automatically
Verify the connection is active
Back on the Platforms tab, you should now see Amazon listed with a green status indicator. This means the connection is active.
Phase 3 complete — Amazon is connected. Your listings will appear in Products within 24 hours.
Review Your Products
After Amazon syncs, check your product catalog in Ysell. Each product needs a title and an ASIN/SKU link before you can create shipments for it.
Go to Products
In the left sidebar, click Products. You'll see a list of all products that synced from Amazon. If the list is empty and it's been more than 24 hours since connecting, contact Alex.
Review each product
Click on a product to open its detail page. Check the following:

✓Title — should match your Amazon listing title. Correct if wrong.

✓ASIN / SKU — must be linked to your Amazon listing. Without this, we can't generate FNSKU labels for FBA prep. This should be auto-filled from Amazon sync.

✓Dimensions and Weight — affects storage billing. Fill in if missing (not mandatory to start).
Set up bundles (if selling multi-packs)
If you sell products as sets (e.g. 2-pack, gift set), you need to set up the bundle structure in Ysell so we can assemble and label them correctly.

1First, create individual products for each component SKU (e.g. SKU-1 and SKU-2)

2Create a third product for the Bundle itself

3On the Bundle product page, find the Set Contains section and add each component product with its quantity
Enable expiration date tracking (perishables only)
If any of your products have an expiration date (food, supplements, cosmetics, anything with a shelf life), you must enable this in the product settings — otherwise the warehouse will have no way to record the date.

2In the product detail page, find the With Expiration Date toggle

3Switch it to Yes
Phase 4 complete — products are verified. You're ready to create your first shipment.
Create an FBA Shipment
Use this when sending inventory to 365PrepCenter for FNSKU labeling, prep, and forwarding to Amazon FBA. Your stock ends up at Amazon's fulfillment center.
Open Shipments and click Create

2Click the + Create button in the top right corner of the page
Select FBA shipment type
For FBA there are two shipment types — choose based on where your inventory is right now:

ASend to FBA from Prep — use this when your inventory is already stored at 365PrepCenter and you want to forward it to Amazon FBA

BTransit to FBA from Prep — use this when your supplier is shipping directly to us and we'll forward it straight to Amazon without counting it in warehouse stock
Select the type, then select 365PrepCenter as the Prep Center. Click Next.
Choose Inbound Planner Responsibility
Select how the FBA inbound plan will be handled. Three options:

★Planner Ship via Prep Center — recommended for most clients. We handle everything: FBA plan creation, shipping labels, box labels. You don't need to send us anything.

2Planner Select Deliveries Yourself — you manage the Amazon pickup schedule and shipment routing independently. 365PrepCenter does not have access to that part of your Amazon account.

3Manager of FBA Plan Manual — you create the FBA shipment plan in Amazon Seller Central manually and send us all the data (shipping labels, box contents, destination FC). Use only if you manage FBA plans yourself.
Click Next, select Shipping Country: US, then proceed to add products.
Add products and quantities

1Click + Add Product

2Search by Product ID (Ysell's internal ID) or by SKU — select from the dropdown

3Enter the quantity being sent

4Repeat for each product in this shipment
Select prep services
For each product, select the services you need. Available services include:
-
→Inbound Storage + Labeling and Shipping — standard FBA prep: receive, FNSKU label, and ship to Amazon
-
→Bubble Wrap (S1/M1/L1 layer or XS2/S2/M2/L2 layers) — for fragile items
-
→Bundle, Polybag, Fragile Bundle — for multi-packs or items requiring poly protection
-
→Product Photos — if you need photos taken at receiving
You can add multiple services per product. Click Add after selecting each one.
Create FBA Plan
After adding all products and services, go to the FBA Plan tab within the shipment and click Create FBA Plan.
Amazon will split your shipment into 1, 2, or 3 destination directions based on their distribution network. This is normal — Amazon routes your inventory across their fulfillment centers. If you sell Oversize or Hazmat products, they may also be separated into additional directions.
Add tracking (optional)
If your supplier provides a tracking number, go to the Tracking tab and click Add Tracking Number. Use whatever identifier you have — carrier tracking number or supplier order number both work.
Add notes for special instructions
Use the Notes field to tell us anything non-standard about this shipment:

→"Label goes on the bottom, not the top"

→"PO #12345 from supplier"
Send to Prep
Go to the Send to Prep tab and click Send to Prep. The shipment status changes to Transfer — 365PrepCenter now sees it in their system and knows your goods are incoming.

💡If you made an error and the shipment is still in Transfer status, you can click Revoke Shipment to cancel and edit it. Once the status moves to Processing, changes are no longer possible — contact us immediately via chat or call.
Ship your boxes to the warehouse
Now physically ship your boxes to our warehouse. Use any carrier (UPS, FedEx, USPS, DHL, freight).
Phase 5A complete — FBA shipment created. We'll prep and forward to Amazon within 24–48h of receiving your boxes.
Create an FBM Shipment
Use this when sending inventory to 365PrepCenter for storage. We fulfill FBM (Fulfilled by Merchant) orders from your stock as they come in. Your products stay at our warehouse until sold.
Open Shipments and click Create
Click + Create, then select 365PrepCenter as the prep center. Click Next twice to reach the product step.
Add products and select service

1Click + Add Product — search by Product ID (Ysell internal ID) or SKU, select the product

2Enter the quantity being sent

3If the product has an expiration date, toggle the Expiration Date switch on and enter the date
-
4Service → select Inbound and Storage — this tells the warehouse to receive and store the goods for FBM fulfillment

5Click Add
Add tracking number
Go to the Tracking tab at the top of the shipment. Click Add Tracking Number and enter whatever identifier you have:

→From a distributor — use the carrier tracking number they provided
-
→From a retailer — use the order number as the identifier (no tracking number required)
This lets 365PrepCenter identify the shipment when it arrives.
Send to Prep
Go to the Send to Prep tab and click Send to Prep. The shipment status changes to Transfer — 365PrepCenter now sees the incoming shipment in their system.
Check your stock in the Warehouse section
After we receive and process your boxes, your stock appears in the Warehouse section in Ysell.
You can see: current stock levels per SKU, how many units are available, and the storage history.
Phase 5B complete — FBM inventory is stored at 365PrepCenter. Set up Order Rules next so we can ship orders automatically.
Set Up Order Rules (FBM sellers only)
Order Rules tell Ysell: "whenever a new Amazon FBM order comes in, automatically route it to 365PrepCenter for fulfillment." Without this, orders won't be fulfilled automatically.
Open Order Rules
Go to Settings in the left sidebar. In the Settings sub-menu, find and click Order Rules. You'll see an empty list — no rules yet.
Fill in the rule form
The form has two panels. Fill in both:

1Name (right panel) — enter something descriptive, e.g.
Automatic FBM order transmission -
2Company (right panel) — select your company

3Priority (left panel) — higher number = higher priority. Rules are applied from highest to lowest. If you only have one rule, leave the default.

4Prep center (left panel) → select 365PrepCenter LLC

5Check the Active checkbox to enable the rule
Save and verify

1Click Save

2You're back on the Order Rules list — your new rule appears with a green active status

3Test it: open a recent Amazon FBM order in Ysell and check that it shows 365PrepCenter as the fulfillment center
Configure exclusions (optional but important)
Inside the Order Rule you can set filters to control which orders this rule applies to. You cannot specify exactly which products to include, but you can exclude products and destinations you don't want this rule to handle:

→Product blacklist — specific products to exclude from this rule

→SKU blacklist — specific SKUs to exclude
-
→Country blacklist / State blacklist — destinations where this rule should NOT apply
-
→Country whitelist — only apply this rule to orders shipping to these countries
-
→Platform whitelist — only apply to orders from specific platforms
-
→Amazon Prime allowed countries — controls Prime order routing by country
Phase 6 complete — Order Rules configured. Important: you must also complete Phase 7 (Deliveries) before going live, otherwise orders will arrive without shipping labels.
Set Up Deliveries (Amazon Buy Shipping)
Deliveries tell Ysell how to automatically purchase shipping labels for FBM orders. Without this step, Order Rules will route orders to 365PrepCenter but no shipping label will be generated — orders will be packed but impossible to ship.
Open the Deliveries tab
Navigate to your company's Deliveries settings:
The Deliveries tab is in the same row as Company, Address, Platforms, Notifications, Invoices.
Add a new delivery configuration
Click the + button to add a new delivery. A form will appear with the following fields:

1Country — select US (or your marketplace country)

2Delivery provider — select Amazon to use Amazon Buy Shipping (recommended — cheapest rates, directly integrated). Other options: UPS, DHL, ShipStation, Pickup, etc.
Click Add to proceed to the full configuration form.
Configure delivery settings
Fill in the configuration fields. The most important ones:

1Delivery experience — select the delivery speed/type (standard, expedited, etc.)

2Delivery confirmation — choose your signature preference:
• No signature — faster delivery, standard for most products
• Without signature — package left at door
• With signature — recipient must sign; use for high-value items
Also indicates whether the carrier will pick up the package from our warehouse -
3Label format — select PNG

4Page format — select 4×6 inch — this is mandatory. Other sizes will not print correctly on shipping label printers

5Shipping service — select the carrier services you want to use (e.g. USPS First Class, UPS Ground, etc.). Choose services that balance cost and speed for your typical orders

6Max label price — the maximum amount Ysell will spend on a shipping label. Orders above this price ceiling will not get a label automatically — you'll need to handle them manually. Set this based on your average shipping cost

7Max weight (lbs) — maximum package weight for this delivery rule. Packages above this weight will need manual label purchase
Save and verify

2The delivery configuration will appear in the Deliveries tab list

3From now on, when an FBM order arrives via Order Rules, Ysell will automatically purchase a shipping label using Amazon Buy Shipping and attach it to the order. 365PrepCenter will see the label and ship the order.
Phase 7 complete — Deliveries configured. FBM orders will now arrive with shipping labels generated automatically via Amazon Buy Shipping.
